ACADEM Database

ACADEM is the central database hosted and utilized by the Faculty of Economics and Business to manage our teaching and research and to support the dean's office and the chairs. On this website, we delineate the data storage concept and your individual rights.

ACADEM is an interactive web-based database to store and evaluate essential data about the members of Goethe University’s Faculty of Economics and Business. The database combines personnel, research, and teaching data which are essential to meet legal / political demands as well as university and accreditation reporting obligations.

In addition, ACADEM empowers our deans and faculty management to make data-driven decisions and to publish end-user-specific data efficiently and compliant with data protection regulations. Finally, the database grants all end-users access and correct to their data, which guarantees a maximum of transparency.

ACADEM contains the follow data:

  • Basic data, e.g. name, age, gender etc.
  • Education, especially highest (academic) degree
  • Career path (internal and external)
  • External activities (e.g. committee work, board memberships)
  • Publications, conference presentations, research awards
  • Research projects (especially third-party funding)
  • Teaching, examination, dissertation supervision statistics
  • Sabbaticals and teaching load reductions

All data are stored locally on a server provided by the university computing center (HRZ), which is solely used by the Faculty of Economics and Business. Hence, the raw data are not transferred to any external institution. However, the data are used for mandatory reports to the university, state government, or accreditation bodies.

Data about scientific publications, i.e. publicly available data, are automatically published on our research website. Moreover, you may opt-in to use our standardized web profile which contains basic career and research information. End-users are able to (de-)select all entries of their web profile individually.

Data access is restricted by distinct user roles. Hence, the following users may access your data:

  • End-user (you): You may access and modify (not all fields) your data.
  • Chair: Usually secretaries of your associated chair, similar view and rights as end-users
  • Admins (Quality Assurance Department): full access to your data, including data analysis tools as part of quality assurance processes
  • Adjunct faculty: restricted access to administrate adjunct teaching allowances
  • Examination office: essential lecturer data to create and update lecturer profiles in the examination administration software
  • Deans: Access to key data and reports

All users have access to the online database and are able to correct incorrect most data themselves. Administrative data (e.g. teaching loads) are set to read-only in order to guarantee data consistency. In this case, please contact the Quality Management & Accreditation department.

Since only users with valid HRZ accounts are able to login to ACADEM, you will be unable to login to the database in case you leave Goethe University. In this case, please contact the Quality Management & Accreditation department if you wish to inspect or correct your data.

After leaving Goethe University, your data will be deleted depending on the type of stored data and the type of your position. Most data will be deleted after 6 years, which is commonly demanded by accreditation institutions. Exceptions apply to publications and awards which are publicly available data. Furthermore, participants of completed dissertation or habilitation projects (reviewers and candidate) will be stored permanently. Basic data of former professors will be saved permanently due to the public interest of this matter. Finally, data about teaching activities will be saved up to 60 years in order to comply with legal documentation duties or to create duplicates of graduation certificates.

Before the end of the deletion periods explained above, it is partially possible to anonymize your data. Please contact the Quality Management & Accreditation department in this case.
